Fellowship panels reject strong candidates for procedural reasons more often than anyone likes to admit. Here are the five we hear about most.
1. Asking for a reference too late
A referee needs weeks, not days. Someone asked on Monday for a Friday deadline will write something generic, because that is all there is time for — and a generic reference from a distinguished person is worth less than a specific one from a lesser-known one.
Ask a month ahead. Send your CV, the call, a note on what you would like them to speak to, and the deadline with its time zone. Then remind them a week before.
2. Reusing a proposal without re-reading the call
Reusing material is sensible. Submitting it without checking it against this call's criteria is not. Panels can tell immediately, because the proposal answers priorities that are not theirs.
Read the assessment criteria and make sure each one is addressed somewhere a reader will find it.
3. Ignoring the eligibility fine print
Years since your last degree. Nationality. Whether you may hold another award at the same time. Whether your institution has to nominate you internally first — that one catches people every year, because the internal deadline is often months before the external one.
Check eligibility before you write a word. It takes ten minutes and it saves weeks.
4. Writing for the wrong reader
Most panels are mixed. Some members will know your field; several will not. A proposal only a specialist can follow will be assessed by people who could not follow it.
Explain the problem in plain terms first, then go into method. Give it to somebody outside your discipline and ask what you are proposing to do.
5. Leaving the submission itself to the last day
Portals go down. Uploads fail. File-size limits appear at the worst moment. Institutional email quietly quarantines the confirmation.
Submit a day early. If the portal allows a draft submission, use it, and confirm you can see your own application in the system afterwards.
